HubSpot Pipedrive integration
Your sales in Pipedrive, your marketing in HubSpot: one customer, up to date on both sides. Or everything in HubSpot, after a migration with no loss of history.
The problem
One prospect, two records.
Neither is the reference.
Pipedrive is built for sales reps. As soon as marketing settles into HubSpot, each team works on its own version of the prospect. The symptoms are always the same.
Leads get lost along the way
A prospect qualified by marketing in HubSpot has to be recreated by hand in Pipedrive. It arrives late, without its history, or never arrives at all.
Marketing can't see the deals
Stages, amounts and won deals stay in Pipedrive. There is no way to know which campaign generated revenue, or to exclude a customer in the middle of a negotiation from nurturing emails.
The same people, twice
A person entered in Pipedrive, a contact created by a HubSpot form: two records, two owners, and dashboards that never show the same figure.
Definition
What is the
HubSpot × Pipedrive integration?
Pipedrive is a sales CRM built around the pipeline: deals, stages, organizations, people and activities to schedule. Sales teams like it for its simplicity. HubSpot also covers marketing, customer service and end-to-end reporting.
Connecting the two takes one of two forms: a migration, which moves your data from Pipedrive to HubSpot once and for all, or coexistence, which syncs it continuously as long as both tools stay in use. Either way, everyone works on the same customer.
What flows
Every deal keeps its story.
Every stage, its place.
Here are the most common mappings between HubSpot and Pipedrive objects. In a migration, data goes from Pipedrive to HubSpot; in coexistence, some flows come back the other way. The exact scope depends on your Pipedrive subscription and what its API allows.
| In HubSpot | In Pipedrive | Direction | When |
|---|---|---|---|
| Companies | Organizations | Pipedrive → HubSpot | At the data load, then on every change in coexistence |
| Contacts | People | Both ways | On every creation or change |
| Deals | Deals | Both ways | At the data load, then on every stage change in coexistence |
| Pipelines and stages | Pipelines and stages | Pipedrive → HubSpot | Once, at scoping: each stage has its match |
| Activities and notes | Activities, notes and linked emails | Pipedrive → HubSpot | At the data load, with their original date |
| Products | Products and deal line items | Pipedrive → HubSpot | At the data load, depending on your Pipedrive subscription |
| Custom properties | Custom fields | Pipedrive → HubSpot | Once, at mapping, then on every change |
| Owners | Users | Both ways | When the deal or account is assigned |
Which system is the reference? In a migration, HubSpot becomes the reference on cutover day. In coexistence, the rule is set in writing at scoping, object by object: HubSpot for contacts and marketing, Pipedrive for deals as long as sales reps work there.

HubSpot takes it from here.
Describe your Pipedrive setup: we will tell you whether it is better to migrate or to coexist, and how.
How to connect
Migrate or coexist.
Your flows decide, not the tool.
A migration is a one-off: a pilot on a sample, then the full data load, often overnight, and a delta to catch up whatever was entered in the meantime. Coexistence is a continuous sync. For either one, there are three ways to move the data.
Connector or marketplace app
The one to pick if a suitable one exists for your HubSpot edition and Pipedrive subscription, and your needs stay standard: people, organizations, deals. It is quick to set up, with no development. Its limit: a fixed mapping that struggles with custom fields and unusual stages.
Integration platform or migration tool
Data Sync, Make, Workato or a specialized migration tool build on Pipedrive's open API. It is often the fastest route to move off a mainstream CRM when the data model is stable. Its limit: every scenario has to be configured, maintained and monitored.
Custom API integration
A direct connection, built for your rules: merging fields, turning deals into custom objects, a pace specific to each flow. Essential when the data model has to change along the way. Its limit: it has to be designed around call quotas and data volume.
We recommend an option after auditing your flows, not before.
Use cases
A deal moves forward.
The whole team sees it.
A lead is qualified in HubSpot
A deal is created in Pipedrive, in the right pipeline, assigned to the right sales rep, with the history of its visits and forms.
A deal is won in Pipedrive
The contact becomes a customer in HubSpot. It leaves the prospecting sequences and enters the onboarding journey planned for it.
A contact unsubscribes
Their choice is applied on both sides. Nobody writes to them without consent anymore, whichever tool the message comes from.
On cutover day
Open deals arrive in HubSpot at the right stage, with their notes and activities. Sales reps pick up the next day where they left off.
Our method
A pilot first.
Cutover next.
Three phases, each covering processes, technology and people. A dedicated project manager stays with you from the first workshop to go-live, with a project committee and a steering committee.
Understand · Think
Choose between migration and coexistence
We analyze a sample of your Pipedrive database, then three workshops, business, functional and technical, map each flow with its source, direction and rules. Several approaches compared, one recommended. Nothing gets built before your written sign-off.
Build · Build
Map, load, test on your data
Field-by-field mapping of organizations, people, deals and activities, recorded in a migration document. A pilot runs on a real sample before the full data load; a delta catches up whatever was entered during cutover.
Steer · Run
Train, monitor, evolve
Team training from go-live, sync error monitoring in coexistence, fixes. Your pipelines, reports and automations then evolve with your processes.
At delivery
Every deal counted.
Every activity at its date.
Acceptance testing runs in three steps: we test and share the counts, you check a sample of records in a shared file, we fix the gaps and rerun the checks. The acceptance report is signed after that, not before.
- As many organizations, people and deals in HubSpot as in Pipedrive
- Every person linked to their organization and deals
- Notes, calls, meetings and tasks on the right record, with their original date
- Every deal in the right pipeline, at the right stage, with the right owner
- Every coexistence flow triggered in front of you before sign-off
Pitfalls to avoid
One stage mapped wrong.
A pipeline skewed for months.
Leaving Pipedrive rarely fails on the technology. The project stumbles on rules nobody set. Here are the six points we lock down before the first data load.
- Deduplicate people and organizations before the import, not after
- Match each Pipedrive stage to a HubSpot stage, in writing
- Convert custom fields (picklists, dates, amounts) to the right format
- Size the data load to the API quotas of your Pipedrive subscription
- Plan attachments, emails and automations separately, as they don't carry over on their own
- In coexistence, name a single master tool per piece of data and monitor errors
Case study
Marketing struggled to keep up.
Orixa Media brought everything into HubSpot.
A digital marketing agency, Orixa Media worked in Pipedrive, efficient for its sales reps but hard to connect to its marketing. Copernic ran the migration from Pipedrive to HubSpot, with scoping workshops and training for the marketing and sales teams.
- All Pipedrive data moved into HubSpot
- Marketing and sales brought together in one shared strategy
- Training materials reused for every new hire

FAQ: the HubSpot × Pipedrive integration
Is there a HubSpot connector for Pipedrive?
HubSpot marketplace apps and sync tools can connect Pipedrive, depending on your HubSpot edition and your Pipedrive subscription. They cover standard objects well: people, organizations, deals. As soon as your custom fields, stages or rules go beyond that, an integration platform or a custom integration takes over. We check what your setup allows from the first conversation.
Which data can be moved or synced?
Organizations, people, deals with their pipelines and stages, activities (calls, meetings, tasks), notes, products, owners and your custom fields. Attachments, linked emails and Pipedrive automations do not carry over by default: we decide together at scoping what should be moved, and how. Custom objects on the HubSpot side require an Enterprise license.
Is the sync real-time or batch?
It depends on the flow and the method chosen. In coexistence, creations and stage changes can be passed on in near real time when the API and your subscriptions allow it; large updates usually go through in batches, for example every night. In a migration, the full data load is done in one go, often overnight, followed by a delta. The pace of each flow is set at scoping.
How long does a project take?
A few weeks for a standard scope, confirmed after scoping. The timeline depends on data volume, the number of pipelines and custom fields, the choice between migration and coexistence, and how available your teams are to approve each step. The schedule is set in the scoping document, before any development, and tracked in the project committee.
What happens if a sync error occurs?
Every error is logged: a missing required field, a duplicate, a call quota reached. An alert goes to a designated owner, at Copernic or on your side, and the failed record is replayed once fixed. In a migration, source and target counts are compared at each step, and gaps are fixed before the acceptance report is signed.
Can we start small?
Yes, and it is often better. You can run both tools side by side while a first team migrates, or sync contacts and deals first before adding activities and products. Each step is tested on a sample of your data, then approved in writing, before the scope is widened.
