HubSpot Sage integration
Your sales in HubSpot, your back office in Sage: one customer, up to date on both sides. Accounts, sales documents, invoices and payments flow with no re-keying.
The problem
Re-keying costs time.
An error costs a customer.
When HubSpot and Sage don't talk, sales reps sell in one tool and sales admin invoices in the other. Three symptoms show up in almost every company.
Every deal won is entered twice
The quote is built in HubSpot, then rebuilt by hand in Sage 100 or Sage X3 to become a purchase order. Discounts, payment terms and item references get lost or garbled with every copy.
Sales reps don't know what has been invoiced
Invoices, due dates and outstanding balances stay in Sage. The sales rep discovers an unpaid invoice just as they pitch a new order, or calls a customer whose delivery is on hold without knowing it.
The same customer has two identities
The Sage account has its customer code, the HubSpot record has its trading name. Without a shared key, duplicates creep in and invoiced revenue no longer matches the pipeline.
Definition
What is the
HubSpot × Sage integration?
Sage is one of the most widely installed business software vendors in France. Sage 100 equips many SMBs for sales management and accounting; Sage X3 serves mid-sized companies and multi-entity groups, with purchasing, inventory and production. Both hold accounts, items, sales documents and payments. HubSpot carries prospecting, marketing and the pipeline.
The integration keeps the two in continuous dialogue: a customer created on one side exists on the other, a deal won becomes a Sage document, a paid invoice shows up on the HubSpot record. Each team keeps its tool, everyone sees the same customer.
What flows
Two tools, two truths.
One integration, one truth.
Here are the most common mappings between HubSpot and Sage objects. The exact scope depends on your product (Sage 100 or Sage X3), your version, your hosting (on-premise or cloud) and the modules installed.
| In HubSpot | In Sage | Direction | When |
|---|---|---|---|
| Companies | Customer accounts (customer code, addresses) | Both ways | When the customer is created, then on every change |
| Contacts | Account contacts | Both ways | On every change |
| Products | Items, item families and prices | Sage → HubSpot | When an item or a price changes |
| Deals and quotes | Quotes and purchase orders | HubSpot → Sage | When the deal reaches the agreed stage (quote accepted) |
| Deal status | Picking and delivery notes | Sage → HubSpot | When the document is converted, then at shipping |
| Invoices | Invoices and credit notes | Sage → HubSpot | When the document is validated |
| Payment status, outstanding balance | Payments, due dates, credit limit | Sage → HubSpot | On each payment, or in batches depending on your version |
| Owners | Sales representatives | Both ways | When the account is assigned |
Which system is the reference? HubSpot for prospects, contacts and open deals; Sage for invoiced customers, items, prices, documents and payments. This master data rule is written down at scoping, field by field, before the first flow.
Sage keeps the books.
HubSpot needs to see them.
Tell us about your current flows: we will tell you what your version of Sage can sync.
How to connect
Connector, platform or custom build.
The choice comes after the audit.
Two workstreams not to confuse. The historical data load is a one-off: accounts, items and past invoices are loaded once into HubSpot, by export and import, middleware or API. Continuous sync is the integration itself: it keeps data flowing day to day, in one of the following three ways.
Native connector or marketplace app
The one to pick if it exists for your version of Sage and your flows stay standard: customers, contacts, invoices. Setup is fast, with no development. Its limit: a fixed mapping that struggles with free fields, item families and your business rules.
Integration platform (iPaaS)
Data Sync, Make, Workato or a specialized middleware orchestrate the flows without heavy code. The right choice when your Sage exposes a usable interface, such as Sage X3 web services, and your data model is stable. Its limit: every scenario has to be configured, maintained and monitored.
Custom API integration
A direct connection, built for your rules: multiple entities, price categories, custom objects, a pace specific to each flow. Essential when the connector or the platform can no longer keep up. Its limit: it has to be designed around call limits and data volume, and it needs monitoring.
We recommend an option after auditing your flows, not before.
Use cases
Sage records.
HubSpot reacts.
A quote is accepted in HubSpot
The purchase order is created in Sage on the right account, with the right items and the negotiated discounts. Sales admin checks and approves, with nothing to re-key.
An invoice is paid in Sage
The payment shows up on the HubSpot record and the sales rep is notified. They follow up for the next order at the right time, not before.
A customer exceeds their credit limit
An alert lands in HubSpot before the next meeting. The sales rep talks due dates before talking about a new order.
A price changes in Sage
The updated item feeds the HubSpot product library. The next quotes go out at the right price, with the right reference.
Our method
The CRM on one side, the ERP on the other.
One team that speaks both.
Three phases, each covering processes, technology and people. A dedicated project manager stays with you from the first workshop to go-live, with a project committee and a steering committee.
Understand · Think
Scope the flows and the master data source
Three workshops, business, functional and technical, to map each flow with its source, direction and business rules. We compare several approaches and recommend one, with our reasoning. Nothing gets built before your written sign-off.
Build · Build
Map, develop, test on your data
Field-by-field mapping between Sage and HubSpot, then configuration or development. A pilot runs on a real sample of accounts, items and documents before cutover; a delta then catches up whatever was entered in the meantime.
Steer · Run
Go live and monitor
Go-live, team training, sync error monitoring and fixes. The integration then follows your changes: new fields, a new entity, a Sage version upgrade.
At delivery
Everything is checked.
Before sign-off.
Acceptance testing runs in three steps: we test and share source and target counts, you check a sample of records in a shared file, we fix the gaps and rerun the checks. The acceptance report is signed after that, not before.
- As many accounts, contacts and items in HubSpot as in Sage
- Every contact linked to its company, every document to the right account
- Quotes, orders and invoices on the right record, with their original date
- Transformed fields carry the values approved during scoping
- Every flow triggered in front of you, both ways, before sign-off
Pitfalls to avoid
Six classic pitfalls.
All ruled out before the first flow.
A Sage integration rarely fails on the technology. It fails on rules nobody set: who creates the customer, who sets the price, who sees the outstanding balance. Here is what we lock down at scoping.
- Deduplicate accounts and contacts before the first import, not after
- Name a single master tool for each piece of data, in writing
- Align required fields on both sides (customer code, SIRET number, price category, payment method)
- Restrict financial data to the right roles in HubSpot
- Size the flows to data volume, hosting and call limits
- Monitor sync errors, with an alert and an owner

FAQ: the HubSpot × Sage integration
Is there a HubSpot connector for Sage?
It depends on your product and version. Connectors or apps exist for some versions of Sage; an integration platform can take over when your Sage exposes a usable interface, such as Sage X3 web services; a custom integration is still possible in other cases. We check what your installation allows from the first conversation, then recommend the simplest approach that covers your flows.
Which data can be synced between HubSpot and Sage?
The most common flows: accounts and contacts, items and prices, quotes and orders, delivery notes, invoices and credit notes, payments, due dates and outstanding balances, sales representatives. The direction of each flow and the system of reference are set at scoping. Attachments, such as invoice PDFs, do not carry over by default: we decide together whether they should. Custom objects in HubSpot require an Enterprise license.
Is the sync real-time or batch?
Both, depending on the flow. A new customer or an accepted quote can sync within minutes; payments and outstanding balances often come up in batches, every night or several times a day. The pace depends on your Sage product, its version, its hosting, call limits and data volume. We choose it flow by flow, based on how your teams use it.
How long does a HubSpot × Sage integration project take?
A few weeks for a standard scope (accounts, items, sales documents, invoices), confirmed after scoping. A wider scope takes longer: several entities in Sage X3, heavy transformation rules, data cleanup beforehand. The schedule is written into the scoping document; it also depends on how available your leads are to approve each step.
What happens if a sync error occurs?
An error must never go unnoticed. Every flow is logged: a rejected record (missing required field, unknown account, duplicate) is flagged without blocking the others. An alert goes to the designated person, the error is fixed at the source, then the record is replayed. In the Run phase, we track these logs and fix recurring anomalies at the root.
Can we start small?
Yes, and it is often the right choice. Many projects start with a single flow: Sage accounts and invoices pushed into HubSpot, so sales reps can see the activity on their accounts. Quotes, orders and outstanding balances are added next, on the same foundation. Scoping plans this path so nothing has to be rebuilt at step two.
