The problem

One customer, two records.
Nobody knows which to trust.

When HubSpot and Odoo don't talk, every team works on its own version of the customer. The symptoms always come back.

Quotes are rebuilt in Odoo

The sales rep builds the offer in HubSpot, then sales admin rebuilds it in Odoo's Sales module to confirm it as a sales order. Every re-entry costs time and lets price, discount or quantity errors slip through.

Sales reps see neither invoices nor deliveries

Invoices, payments and deliveries stay in the Invoicing and Inventory modules. The sales rep chases a customer who hasn't paid, or promises a lead time without knowing the order is waiting in the warehouse.

Two CRMs run the same pipeline

Odoo's CRM and HubSpot each keep their own leads and partners. Records get duplicated, amounts drift apart, and the sales committee spends its meeting reconciling numbers.

Definition

What is the
HubSpot × Odoo integration?

Odoo is a modular business suite, available as a Community edition (open source) and an Enterprise edition. Companies adopt it module by module: Sales for quotes and sales orders, Invoicing for invoices and payments, Inventory for stock and deliveries, sometimes CRM. HubSpot carries prospecting, marketing and the sales pipeline.

The integration keeps the two in continuous dialogue: a partner created on one side exists on the other, a won deal becomes a sales order, a paid invoice shows up on the HubSpot record. Each team keeps its tool, everyone sees the same customer.

Zero re-keyingThe won deal becomes an Odoo sales order.

What flows

Changed in one tool.
Updated in the other.

Here are the most common mappings between HubSpot and Odoo objects. The exact scope depends on your version, your edition (Community or Enterprise), your hosting and your subscription, which can determine access to the Odoo API.

Which system is the reference? HubSpot for prospects, contacts and open deals; Odoo for invoiced customers, items, prices, stock, invoices and payments. If you also use Odoo's CRM, we decide at scoping whether it runs alongside HubSpot or makes way for it. This master data rule is set in writing, field by field.

How to connect

Several paths lead to Odoo.
Your flows point to the right one.

Before continuous sync, there is often a historical data load: partners, items and past invoices, loaded once into HubSpot by export and import, middleware or API. After that, there are three ways to keep data flowing day to day.

01

Connector or marketplace app

The one to pick if a suitable one exists for your version of Odoo and your needs stay standard: partners, contacts, orders, invoices. It is quick to set up, with no development. Its limit: a fixed mapping that struggles with your custom fields, specific modules and business rules.

02

Integration platform (iPaaS)

Data Sync, Make, Workato or a specialized middleware orchestrate the flows without heavy code. The right choice when your Odoo subscription opens API access and your data model is stable. Its limit: every scenario has to be configured, maintained and monitored.

03

Custom API integration

A direct connection to the Odoo API, built for your rules: data transformation, custom objects, multi-company, a pace specific to each flow. Essential when the connector or the platform can no longer keep up. Its limit: it has to be designed around call limits and data volume, and it needs monitoring.

We recommend an option after auditing your flows, not before.

Use cases

Signed in HubSpot.
Ready to ship in Odoo.

A quote is accepted in HubSpot

The sales order is created in Odoo's Sales module, with the right partner, the right items and the negotiated discounts. Sales admin only has to confirm it.

A delivery leaves the warehouse

The status comes up from Inventory to the HubSpot deal. The sales rep knows the customer has been delivered before calling them.

An invoice is paid in Odoo

The payment status updates on the HubSpot record and the sales rep is notified. They follow up for the next order at the right time.

You are leaving Odoo's CRM

Open leads and opportunities are moved into HubSpot, then Odoo only receives won sales. One pipeline, one sales team.

Our method

Scoped before it is coded.
Monitored after go-live.

Three phases, each covering processes, technology and people. A dedicated project manager stays with you from the first workshop to go-live, with a project committee and a steering committee.

01

Understand · Think

Scope the flows and the master data source

Three workshops, business, functional and technical, to map each flow module by module, with its source, direction and business rules. We compare several approaches and recommend one. Nothing gets built before your written sign-off.

02

Build · Build

Map, develop, test on your data

Field-by-field mapping between Odoo and HubSpot, then configuration or development. A pilot runs on a real sample of partners, items and orders before cutover; a delta then catches up whatever was entered in the meantime.

03

Steer · Run

Go live and monitor

Go-live, team training, sync error monitoring and fixes. The integration then follows your changes: new fields, new modules, an Odoo version upgrade.

At delivery

Numbers that add up.
Right in front of you, before sign-off.

Acceptance testing runs in three steps: we test and share the counts, you check a sample of records in a shared file, we fix the gaps and rerun the checks. The acceptance report is signed after that, not before.

  • As many partners, contacts and items in HubSpot as in Odoo
  • Every contact linked to its company, every order to the right customer
  • Quotes, sales orders and invoices on the right record, with their original date
  • Transformed fields carry the values approved during scoping
  • Every flow triggered in front of you, both ways, before sign-off

Pitfalls to avoid

Every pitfall has a name.
We deal with it before it costs you.

An Odoo integration rarely fails on the technology. It fails on rules nobody set. Here are the six points we lock down before writing a single line of code.

  • Tell companies and people apart: in Odoo, both are partners
  • Deduplicate partners and contacts before the first import, not after
  • Decide the fate of Odoo's CRM (run side by side or replace) and name a single master tool per piece of data
  • Align required fields, price lists and companies if you run multi-company
  • Restrict financial data to the right roles in HubSpot
  • Size the flows to data volume and monitor errors, with an alert and an owner

FAQ: the HubSpot × Odoo integration

Is there a HubSpot connector for Odoo?

It depends on your version of Odoo, your edition (Community or Enterprise) and your hosting (Odoo Online, Odoo.sh or your own server). Connectors or apps exist for some setups; an integration platform can take over when your subscription opens API access; a custom integration is still possible in other cases. We check what your Odoo allows from the first conversation, then recommend the simplest approach that covers your flows.

Which data can be synced between HubSpot and Odoo?

The most common flows: partners and contacts, items and price lists, quotes and sales orders, deliveries, invoices and credit notes, payments, salespeople. The direction of each flow and the system of reference are set at scoping. Attachments, such as invoice PDFs, do not carry over by default: we decide together whether they should be loaded. If you need custom objects in HubSpot, an Enterprise license is required.

Is the sync real-time or batch?

Both, depending on the flow. A new partner or an accepted quote can sync within minutes; payments and stock movements often come up in batches, every night or several times a day. The pace depends on your version of Odoo, your subscription, call limits and data volume. We choose it flow by flow, based on how your teams use it.

How long does a HubSpot × Odoo integration project take?

A few weeks for a standard scope (partners, items, orders, invoices), confirmed after scoping. A wider scope takes longer: specific modules, heavy transformation rules, data cleanup, several companies in Odoo or moving off Odoo's CRM. The schedule is set in the scoping document; it also depends on how available your leads are to approve each step.

What happens if a sync error occurs?

An error must never go unnoticed. Every flow is logged: a rejected record (missing required field, unknown partner, duplicate) is flagged without blocking the others. An alert goes to the designated person, the error is fixed at the source, then the record is replayed. In the Run phase, we track these logs and fix recurring anomalies at the root.

Can we start small?

Yes, and it is often the best idea. Many projects start with a single flow: for example, Odoo partners and invoices pushed into HubSpot, so sales reps can see the activity on their accounts. Quotes, sales orders and deliveries are added next, on the same foundation. Scoping plans this path so nothing has to be redone at step two.
