HubSpot and Ringover integration
Your calls in Ringover, your customers in HubSpot: every conversation on the right record, with no data entry. Calls, SMS, Empower transcripts and call campaigns flow automatically.
The problem
The prospect called back three times.
The CRM knows nothing about it.
When Ringover and HubSpot don't talk, phone prospecting stays in the dialer, not in the CRM. The same symptoms come back from one team to the next.
A morning of calls leaves no trace
Forty calls made, three meetings booked, and nothing on the records. The sales rep fills in the CRM in the evening, from memory, if at all.
Follow-ups cross paths
Two sales reps call the same prospect in the same week, because neither can see who already spoke to them. The prospect notices.
The manager is steering blind
Call volume is in Ringover, the pipeline is in HubSpot. There is no way to know how many calls it takes to close, or which pitch really moves a deal forward.
Definition
What is the
HubSpot × Ringover integration?
Ringover is a cloud telephony platform designed for sales teams and customer service: landline and mobile numbers, switchboard and IVR, call routing, recordings, SMS, call campaigns. HubSpot carries contacts, deals and tickets.
The integration links the two continuously: a call made or received in Ringover becomes an activity on the right HubSpot record, with its duration, recording, tags and the agent's notes; a number clicked in HubSpot starts the call in the Ringover dialer. With Empower, Ringover's conversational AI, the transcript and summary of the conversation can join the record too. Your teams make the calls, HubSpot remembers every conversation.
What flows
From dialer to CRM.
Without a single entry.
Here are the most common events and what they become in HubSpot. The exact scope depends on your Ringover plan, your Empower offer, your HubSpot edition and the integration settings.
| In Ringover | In HubSpot | Direction | When |
|---|---|---|---|
| Contacts | Contacts and companies | HubSpot → Ringover | On creation, then on every change |
| Inbound or outbound call | “Call” activity on the contact, company or deal: date, duration, direction, agent | Ringover → HubSpot | When the call ends |
| Recording and voicemail | Playback link on the call activity | Ringover → HubSpot | After the call |
| Empower transcript and summary | Text and summary of the conversation on the call activity | Ringover → HubSpot | After the call, depending on your Empower offer |
| SMS sent and received | Activity in the contact history | Ringover → HubSpot | On every message |
| Agent tags and notes | Activity notes and properties | Ringover → HubSpot | When the call is closed |
| Missed call | Callback task or assigned ticket | Ringover → HubSpot | As soon as the call is missed |
| One-click call (click-to-call) | Number on the contact record | HubSpot → Ringover | On user request |
| Fields shown in the dialer | Selected HubSpot properties, visible during the call | HubSpot → Ringover | On pickup |
| Users and teams | Owners and teams | Matching | At setup, then for each new arrival |
Which system is the reference? HubSpot for contacts, companies, owners and tickets; Ringover for the call itself: timestamp, duration, line, recording, transcript. This master data rule is set in writing at scoping, property by property.

Talk to an expert →How to connect
Three paths to HubSpot.
Only one built for your teams.
Before continuous sync, there is sometimes a historical data load: contacts, numbers, even call logs from a former phone system, loaded once into HubSpot by export and import, middleware or API. After that, there are three ways to keep calls flowing day to day.
Native Ringover integration
The most common starting point: it is enabled from Ringover by an admin account, links the accounts, syncs contacts and logs calls, SMS, tags and notes on records, with no development. Its limit: its settings cover standard cases, not your routing rules, custom properties or ticket pipelines.
Integration platform (iPaaS)
Make, Workato or a specialized middleware add the scenarios the native integration doesn't provide: a ticket on a missed call, a deal stage updated based on the call outcome, a team alert. The right choice when your needs go beyond the standard without justifying development. Its limit: every scenario has to be configured, maintained and monitored.
Custom API integration
The Ringover API and webhooks allow a direct connection, built for your rules: fine-grained assignment, custom objects, consolidated statistics, campaign results. Essential for large volumes or complex journeys. Its limit: it has to be designed around call limits and data volume, and it needs monitoring.
The right path is chosen after auditing your flows, never before.
Use cases
A hundred calls in the morning.
A hundred records up to date by noon.
A call campaign starts
The list goes from a HubSpot view to Ringover call campaigns, depending on your plan. Every outcome, tag and note comes back to the record and moves the follow-up forward.
A prospect calls back
Their record appears on pickup: name, company, owner, open deal. The sales rep picks up the conversation where it left off.
A meeting is confirmed by SMS
The SMS goes out from Ringover and joins the contact history. The whole team sees the exchange, nobody follows up twice.
The manager prepares the team meeting
Call volume, pickup rate and deals in the same HubSpot dashboard. With Empower, the summaries also show what was said.
Our method
Designed for your teams.
Proven on real calls.
Three phases, each covering processes, technology and people. A dedicated project manager stays with you from the first workshop to go-live, with a project committee and a steering committee.
Understand · Think
Scope the flows and the master data source
Three workshops, business, functional and technical, to map your lines, your teams, your call campaigns and what each call must produce in HubSpot, transcript and summary included. We compare several approaches and recommend one. Nothing gets configured before your written sign-off.
Build · Build
Map, configure, test on real calls
Matching Ringover users and HubSpot owners, fields shown in the dialer, call properties, task and ticket creation rules, then configuration or development. A pilot runs with one team and a few lines before rollout to everyone.
Steer · Run
Go live and monitor
Go-live, training for sales reps, agents and managers, monitoring of unlogged calls and fixes. The integration then follows your changes: a new line, a new team, a new campaign.
At delivery
Ten test calls, then a thousand.
Not one missing.
Acceptance testing runs in three steps: we place test calls and SMS and share the counts, you check a sample of records in a shared file, we fix the gaps and rerun the checks. The acceptance report is signed after that, not before.
- As many calls logged in HubSpot as in Ringover over the test period
- Every call and every SMS on the right record, with its date, duration and agent
- Every missed call turned into a task or ticket, assigned to the right team
- Recordings, transcripts and summaries visible only to the intended roles
- Every scenario played in front of you, inbound, outbound and campaign, before sign-off
Pitfalls to avoid
One duplicate contact.
Two sales reps on the same prospect.
A telephony integration rarely fails on the technology. It fails on rules nobody set. Here are the six points we lock down at scoping.
- Standardize numbers to international format before go-live
- Deduplicate contacts: one number, one record
- Match every Ringover user to their HubSpot owner
- Govern recordings and transcripts: caller notice, retention period, access rights
- Choose the useful fields for the dialer, not every field
- Monitor unlogged calls, with an alert and an owner
Ringover's AI · Empower
The call has hung up.
The summary is already on the record.
Empower is Ringover's conversational AI. It transcribes conversations, writes their summary, spots the topics discussed and, depending on the offer, helps managers coach their teams. Connected to HubSpot, it turns every call into material the CRM can use, rather than a recording nobody listens to again.
After the call
Transcript and summary
Every conversation is transcribed, then summarized in a few lines and attached to the call activity in HubSpot. The next sales rep knows what was said without listening to the call again.
During the conversation
Topics and signals
Objections, competitors mentioned, next steps: Empower spots the themes of the conversation. Depending on your offer and the chosen integration, they can feed HubSpot properties and your reports.
For the manager
Team coaching
Call scoring and sales pitch analysis to help everyone improve. The manager coaches on real conversations, not on impressions.
Empower is a Ringover offer separate from telephony. What comes into HubSpot depends on your plan: we check it with you at scoping, before promising anything.

FAQ: the HubSpot × Ringover integration
Is there a HubSpot connector for Ringover?
Yes. Ringover offers a native integration with HubSpot, listed on the HubSpot marketplace and enabled from Ringover by an admin account. It syncs contacts, logs calls, SMS, tags and notes on records, and embeds the Ringover dialer in HubSpot. The features available depend on your Ringover plan and your HubSpot edition. To go further (automatically created tickets, fine-grained assignment rules, custom properties), an integration platform or development on the Ringover API takes over. We check what your setup allows from the first conversation.
What does Empower, Ringover's AI, bring?
Empower transcribes conversations, writes a summary, spots the topics discussed and, depending on the offer, provides coaching and call scoring. Summaries can join the call activity on the HubSpot record. Empower is a Ringover offer separate from telephony: we check at scoping what your plan covers and what should come into the CRM.
Which data can be synced between HubSpot and Ringover?
The most common flows: contacts and companies to Ringover; inbound, outbound and missed calls to HubSpot, with their duration, agent, notes, tags and recording; SMS; depending on your Empower offer, transcript and summary. Calls can also create tasks or tickets. The direction of each flow and the reference tool are set at scoping. Custom objects in HubSpot require an Enterprise license.
Is the sync real-time or batch?
For the most part, in near real time: the call appears on the HubSpot record shortly after hanging up, and contact information shows up in the dialer during the call. Transcripts and summaries arrive after the call is processed. Consolidated statistics or bulk updates may go through in batches. The pace depends on the option chosen, API limits and call volume; we choose it flow by flow.
How long does a HubSpot × Ringover integration project take?
A few weeks for a standard scope, confirmed after scoping. A wider scope, with several teams, call campaigns, automatic tickets, Empower or custom development, takes longer. The schedule is set in the scoping document; it also depends on how available your leads are to approve each step.
Ringover or Aircall: which one should you choose?
Both integrate well with HubSpot, and we connect both. The choice depends on how you work: outbound prospecting volume, need for SMS, role of conversational AI, destinations called, customer service organization. If you are unsure, we compare them with you on your real use cases before scoping. See also our HubSpot and Aircall integration page.
What happens if a sync error occurs?
An error must never go unnoticed. A call that cannot find its record (unknown or badly formatted number, duplicate contact) is flagged without blocking the others. An alert goes to the designated person, the cause is fixed at the source and the call is attached. In the Run phase, we track these logs and fix recurring anomalies at the root.
Can we start small?
Yes, and it is often the best idea. Many projects start by logging calls for a single team, sales or support, so everyone can see their customers' history. Call campaigns, Empower and automatic tickets are added next, on the same foundation. Scoping plans this path so nothing has to be redone at step two.
