The problem

Two CRMs, two teams.
One single customer journey.

Whether Zoho stays in place or you are preparing the move to HubSpot, two unconnected tools always produce the same symptoms.

Leads go cold between two tools

Marketing generates its leads in HubSpot, sales reps work in Zoho CRM. The weekly CSV export arrives too late, hot leads wait and nobody knows who called whom back.

The same contact exists twice

A different email address, a Zoho account created by hand, and the customer has two records that drift apart. Scoring, history and owner no longer match from one tool to the other.

Invoices stay in Zoho Books

HubSpot carries the pipeline, Zoho Books and Zoho Inventory hold invoices, payments and stock. The sales rep sees neither the unpaid invoice nor the stock-out before calling the customer.

Definition

What is the
HubSpot × Zoho integration?

Zoho is a suite of business apps widely used by SMBs: Zoho CRM for sales, Zoho Books for invoicing, Zoho Inventory for stock and orders. HubSpot carries marketing, prospecting and the pipeline.

The integration moves data between the two continuously: a contact created on one side exists on the other, a won deal updates the record, a paid invoice comes back into HubSpot. It serves two scenarios. Coexistence, when each team keeps its tool. Migration, when you leave Zoho CRM for HubSpot and both stay in sync during the cutover.

What flows

No more CSV exports.
Up-to-date data everywhere.

The most common mappings between HubSpot and Zoho apps. The exact scope depends on your edition and on what the Zoho APIs allow.

Which system is the reference? In coexistence, HubSpot for marketing, leads and scoring; Zoho CRM for deals if your sales reps stay there; Zoho Books for invoices and payments. In a migration, HubSpot becomes the single reference and Zoho CRM goes read-only after cutover. This rule is set in writing at scoping, field by field.

Get them to agree.

How to connect

Your processes first.
The connector second.

In a migration, a historical data load comes first: Zoho leads, accounts, deals and activities loaded once into HubSpot, by export and import, middleware or API. After that, there are three ways to keep data flowing day to day.

01

Connector or marketplace app

The one to pick if it exists for your Zoho edition and your needs stay standard: contacts, accounts, deals. It is quick to set up, with no development. Its limit: a fixed mapping that struggles with your custom fields, custom modules and assignment rules.

02

Integration platform (iPaaS)

Data Sync, Make, Workato, Zoho Flow or a specialized middleware orchestrate the flows without heavy code. The right choice when the Zoho APIs cover your objects and your data model is stable. Its limit: every scenario has to be configured, maintained and monitored.

03

Custom API integration

A direct connection to the Zoho CRM, Books or Inventory APIs, built for your rules: data transformation, custom objects, a pace specific to each flow. Essential when your Zoho has been heavily customized. Its limit: it has to be designed around your subscription's API credits and data volume.

We recommend an option after auditing your flows, not before.

Use cases

A deal moves in Zoho.
HubSpot already knows.

A lead is qualified in HubSpot

It is created in Zoho CRM as a lead or contact, assigned to the right sales rep, with its source and latest interactions. The sales rep calls back the same day.

A deal is won in Zoho CRM

The HubSpot record becomes a customer. The contact leaves prospecting campaigns and enters your onboarding journey.

An invoice is paid in Zoho Books

The payment status updates in HubSpot and the sales rep is notified. An unpaid invoice triggers an alert before the sales follow-up.

You leave Zoho CRM

During cutover, both CRMs stay in sync and a delta catches up the latest entries. On D-day, HubSpot becomes your single reference.

Our method

Nothing switches over blind.
Everything is tested on your data.

Three phases, each covering processes, technology and people. A dedicated project manager stays with you from the first workshop to go-live, with a project committee and a steering committee.

01

Understand · Think

Scope the flows and the master data source

Three workshops, business, functional and technical, to decide between migration and coexistence, then map each flow with its source, direction and business rules. We compare several approaches and recommend one. Nothing gets built before your written sign-off.

02

Build · Build

Map, develop, test on your data

Field-by-field mapping between Zoho modules and HubSpot objects, then configuration or development. A pilot runs on a real sample of leads, accounts and deals before cutover; a delta then catches up whatever was entered in the meantime.

03

Steer · Run

Go live and monitor

Go-live, team training, sync error monitoring and fixes. The integration then evolves with your processes: new fields, a new Zoho app.

At delivery

Accurate counts.
Checked in front of you.

Acceptance testing runs in three steps: we test and share the counts, you check a sample of records in a shared file, we fix the gaps and rerun the checks. The acceptance report is signed after that, not before.

  • As many contacts, accounts and deals in HubSpot as in Zoho, within the agreed tolerance
  • Every contact linked to its company and its deals
  • Notes, calls, tasks and meetings on the right record, with their original date
  • Owners, pipeline stages and custom fields carried over according to the approved rules
  • Every flow triggered in front of you, both ways, before sign-off

Pitfalls to avoid

Two master CRMs?
Only one should win.

A Zoho integration rarely fails on the technology. It fails on rules nobody set. Here are the six points we lock down before writing a single line of code.

  • Deduplicate leads, contacts and accounts before the first import: Zoho separates leads and contacts, HubSpot tells them apart by lifecycle stage
  • Name a single master tool for each piece of data, in writing, so the two CRMs don't overwrite each other
  • Align pipeline stages, picklists and required fields on both sides
  • Restrict Zoho Books invoices and payments to the right roles in HubSpot
  • Size the flows to data volume and the API credits of your Zoho edition
  • Decide what happens to Zoho attachments, email templates and workflows: they don't carry over by default

FAQ: the HubSpot × Zoho integration

Is there a HubSpot connector for Zoho?

It depends on which Zoho apps you use and on your edition. For Zoho CRM, ready-made options often cover standard objects: contacts, accounts, deals. For Zoho Books or Zoho Inventory, an integration platform or an API integration usually takes over. We check what your Zoho environment allows from the first conversation, then recommend the simplest approach that covers your flows, with no over-engineering.

Which data can be synced between HubSpot and Zoho?

The most common flows: leads and contacts, accounts, deals and pipeline stages, activities, products, quotes and orders; on the Zoho Books and Zoho Inventory side, invoices, payments, items and stock. The direction of each flow and the reference tool are set at scoping. Attachments, email templates and Zoho workflows do not carry over by default. If you need custom objects in HubSpot, an Enterprise license is required.

Is the sync real-time or batch?

Both, depending on the flow. A qualified lead or a deal changing stage can sync within minutes; invoices, payments and stock often come up in batches, every night or several times a day. The pace depends on your Zoho edition, your subscription's API credits and data volume. We choose it flow by flow, based on how your teams use it.

How long does a HubSpot × Zoho integration project take?

A few weeks for a standard scope, confirmed after scoping. A full Zoho CRM migration with all its history, custom modules, data cleanup or several Zoho apps to connect take longer. The schedule is set in the scoping document; it also depends on how available your leads are to approve each step.

What happens if a sync error occurs?

An error must never go unnoticed. Every flow is logged: a rejected record (missing required field, unknown picklist value, duplicate) is flagged without blocking the others. An alert goes to the designated person, the error is fixed at the source, then the record is replayed. In the Run phase, we track these logs and fix recurring anomalies at the root.

Can we start small?

Yes, and it is often the best idea. Many projects start with a single flow: for example, qualified leads from HubSpot sent to Zoho CRM, or Zoho Books invoices brought back into HubSpot. Deals, activities and stock are added next, on the same foundation. If a migration is on the table, scoping plans this path so nothing has to be redone at step two.
